Can you move from a paid VPS panel to a free panel without losing your website or email?

Yes, a carefully planned move is possible. The control panel, website, database and mail service are separate parts of the system. Moving them safely requires an inventory, a tested destination and a clear point at which new data switches over.

Start with the services, not the panel installer

List every domain, subdomain, application, database, mailbox, scheduled task and backup destination. Record the current PHP or Node.js version, required extensions, storage use and the people who control the accounts. A working homepage does not prove that mail, payments or background jobs have moved.

Keep credentials in a password manager or vault. The migration sheet needs account references and responsible people, not passwords copied into a shared document.

CloudPanel: a good fit when website and email are separate

CloudPanel (opens in a new tab / नए टैब में) is free to use and supports PHP, Node.js, Python, static sites and reverse proxies. Its website-focused interface suits a developer or agency running applications on a VPS.

The trade-off is important: it does not include a mailbox server. Keep existing business email with its provider or plan a separate mail system. Apache .htaccess rules also need an equivalent Nginx configuration; copying files alone will not reproduce them.

HestiaCP: websites, mail and DNS in one panel

HestiaCP (opens in a new tab / नए टैब में) is an open-source option with web hosting, mail, DNS, databases and scheduled backups. It can suit a small agency that wants these services together and has someone responsible for Linux administration.

Bundling mail is convenient, but the operator still handles spam, storage, deliverability and recovery. Check the current supported OS and test the source backup format first. A cPanel importer is not a promise that every custom account setting will transfer.

Virtualmin GPL: flexibility for an experienced operator

Virtualmin (opens in a new tab / नए टैब में) builds hosting management on Webmin. Its free GPL edition covers core website, mail, DNS and database management. That is useful when you want detailed control over a Linux hosting stack.

The wider range of settings takes time to learn. Check the GPL-versus-Pro feature list for the tools you need; some advanced automation and commercial support belong to the paid offering. A non-technical business still needs an operator.

When cPanel or Plesk can justify the licence cost

cPanel & WHM can make sense when your team and customers already use account-based hosting workflows. Its Transfer Tool (opens in a new tab / नए टैब में) can copy supported accounts and configurations. Its Live Transfer feature applies between cPanel & WHM servers; it is not a universal migration tool for free panels.

Plesk (opens in a new tab / नए टैब में) offers different editions for basic website management, development and hosting businesses. WP Toolkit and subscription workflows may save operating time. Check the edition, domain allowance, extensions and supported OS before comparing costs. Plesk Migrator also leaves some service and security settings for separate setup.

A paid panel can be the cheaper business decision if the hours saved exceed its licence cost. A free panel can be the better choice when its scope matches your sites and you can operate it reliably.

A practical choice for three common situations

These are selection examples, not performance benchmarks or promises about a specific server.

  • A WordPress or Node.js site with email already on a separate provider: shortlist CloudPanel; preserve mail DNS while moving the web application.
  • A few sites needing mailboxes and DNS in the same interface: compare HestiaCP and Virtualmin GPL, including the time required to manage mail.
  • Many client accounts, existing reseller workflows or a team trained on a paid panel: price cPanel/Plesk alongside the free options before choosing.

Email needs its own decision

CloudPanel does not provide a built-in mail service. If the old panel manages mailboxes, replacing the web panel does not recreate those mailboxes. You can keep mail with the existing provider, choose a hosted mail service, or manage a separate mail server.

For a mail move, prepare the destination accounts, synchronise messages, check folders and quotas, then plan a final incremental sync. MX, SPF, DKIM and DMARC records need deliberate review. Website contact-form delivery also needs an actual send-and-receive test.

Move and test on a separate destination

Take a consistent database export and copy the application files, uploads and configuration through an authorised channel. Restore them on the destination and test using a protected preview or a local hosts-file override. Keep the preview out of search results.

Check logins, forms, uploaded files, search, checkout, transactional email and scheduled work. Confirm application and database compatibility before cutover. A panel backup archive may not be directly importable into another product.

  • Compare database records and important files after restore.
  • Check ownership, permissions, redirects and TLS certificates.
  • Document the previous release and how to return traffic to it.

Control new writes during cutover

A shop or booking site can receive new records while a copy is in progress. Agree a short write freeze, maintenance window or a tested replication method. Perform the final data sync before switching web traffic. DNS changes can take time to reach different visitors.

Keep the old environment available through the agreed observation period. Rollback after accepting orders on the new system needs a data-reconciliation plan; simply changing DNS back can discard newer work. Zero data loss is a goal to verify, not a blanket promise.

Prove that email and database data survived

Choose a quiet cutover window and agree how new orders, enquiries and uploads will be handled. Copy the initial data, test the destination privately, then make a final consistent database and file sync before changing traffic. For a busy shop, use a planned write pause or an application-specific migration method.

  • Database: compare expected tables and recent records, then test a login, form submission and a representative order in a safe test flow.
  • Email: compare folders and message counts, check aliases/forwarders, and test inbound and outbound delivery. IMAP does not automatically move contacts and calendars.
  • DNS: verify A/AAAA, MX, SPF, DKIM and DMARC against the chosen architecture. Check IPv6 too.
  • Rollback: retain the old environment and a recovery point until the agreed checks pass; reconcile new writes before any rollback.
